What we collect, why we ask for it, who helps us handle it, and how you stay in control.
This policy explains what happens to the details you share with us through this website: what we collect, why, who helps us handle it, how long we keep it, and how you stay in control. It applies to lightandshadeevents.com and to enquiries you send us through it.
Who we are
Light & Shade Events is an Event Production business based in Thane, Maharashtra, producing events since 1992. It is a sole proprietorship, which means it is owned and run by one person rather than a company. Our proprietor, Sandeep Bhaskar Vengurlekar, decides how your details are used and is responsible for them. Indian data protection law calls this person the Data Fiduciary.

What we collect
When you use Plan Your Event. The form asks about your event: the kind of event, number of guests, type of venue, timing, city (or another city you type in) and the services you want. It then asks for your name and phone number, which are required, and your email address and a short note, which are optional. When you send it, we create an enquiry reference (it starts with LS-) and a PDF summary of your answers.
While you fill in the form. Your answers stay in your own browser tab, using your browser's session storage, so you can move between steps without losing them. They stay on your device until your enquiry is sent or you close the tab. We cannot see them until you send.
To keep the form safe. On the last steps of Plan Your Event, a security check by Cloudflare Turnstile runs in the background. It looks at technical signals from your browser and device, such as your IP address and browser details, to tell a person from a bot, and now and then it may ask you to tick a box. When you send, our server also holds your IP address in its short-term memory for a short time (see section 6), to stop floods of messages.
When you visit any page. Like every website, our host receives technical details such as your IP address and browser type in order to deliver pages and protect the site. We also count visits without identifying you (see section 12).
When you contact us directly. If you call, email or message us on WhatsApp, we receive whatever you choose to share, along with your phone number or email address.
Please do not put sensitive details, such as health information, bank or card details or passwords, in the note. We do not need them to plan your event.
Why we use it
We use your enquiry details to reply to you, understand your event, prepare a plan and quotation, and talk to you about it. You choose to give us these details for that purpose, and we use them for it until you tell us to stop. India's Digital Personal Data Protection Act, 2023 calls this a legitimate use: a lawful basis that does not need separate consent, as that part of the Act comes into force.
We use the security signals and short-term IP record only to keep our form safe from spam and abuse.
We use the visit counts only to see which pages and ways of contacting us people use, and to improve the site.
If you go ahead with an event, we use your details to deliver it and to keep the invoices and records that tax and accounting laws require.
We do not sell your details. We do not use them for advertising, and we never send newsletters, offers or WhatsApp broadcasts to people who enquire. Apart from the automatic checks that protect the form, which can stop a message that looks like it comes from a bot or is sent too many times in a row, we do not make automated decisions about you.
Who helps us
We share your details only with the people and services we need, and only as much as each one needs.
- Our team. Our proprietor and the members of our team who handle enquiries and plan your event.
- Vercel (USA) hosts this website and runs our enquiry form. Your enquiry passes through Vercel's servers in the United States on its way to our inbox. Vercel also keeps basic technical logs, such as IP addresses, for security and operation, and counts our visits (Vercel Web Analytics, section 12).
- Resend (USA) delivers your enquiry and its PDF summary to our email inbox.
- Google stores our company email through Google Workspace, so your enquiry is kept in our mailbox there.
- Cloudflare (USA) runs the Turnstile security check and streams the films on our website. Cloudflare uses the Turnstile signals to protect our form and also to improve its own bot detection, under Cloudflare's privacy policy.
- WhatsApp (Meta), only if you choose to send your enquiry or a message to us on WhatsApp. WhatsApp's own terms and privacy policy then apply to that conversation.
- Event partners, only if you go ahead with an event. We may share the details needed, such as your name, phone number, date and venue, with venues, artists and suppliers who help deliver it.
- Authorities, when the law requires us to share information.
Transfers outside India
Some of the services above store or process your details outside India, including in the United States. We use established providers and share only what they need to do their job. If the Government of India restricts transfers to any country, we will follow that restriction.
How long we keep it
- Your answers in your browser tab: until your enquiry is sent or you close the tab.
- Your IP address in our rate limit: up to 10 minutes.
- Enquiries that do not become an event with us: we delete them, including copies in email and WhatsApp, within 12 months of our last contact with you.
- Clients: for as long as we need to deliver your event, and afterwards only what tax, accounting and other laws require us to keep.
- Our service providers' technical logs: for the periods set by their own policies.
How we protect it
This website uses encrypted connections (HTTPS). We use established providers who run their own security programmes, and we limit access to your details to the people who need them. No system is perfectly secure. If a security breach affects your details, we will tell you, and the authorities, as the law requires.
Your rights
You can ask us to:
- tell you what details we hold about you, what we do with them and who we have shared them with;
- correct, complete or update your details;
- delete your details, unless we still need them for an event you have booked with us or the law requires us to keep them;
- stop using your details. This also means we stop working on your enquiry;
- nominate another person to exercise these rights for you if you die or become unable to act.
To make a request, write to our Grievance Officer (section 09) from the phone number or email address you used, and include your enquiry reference if you have it. We may ask you to confirm who you are before we act.
We honour these requests today. They are also your rights under the Digital Personal Data Protection Act, 2023, as its provisions come into force.

We will resolve your request or complaint as quickly as we can, and in any case within one month of receiving it.
Complaints to the Data Protection Board of India
Please use our grievance process in section 09 first. If you are not satisfied with our answer, you can complain to the Data Protection Board of India once its complaint powers under the Digital Personal Data Protection Act, 2023 are in force (expected from May 2027).
Children
Our services and this form are meant for adults aged 18 or over. If you are under 18, please ask a parent or guardian to contact us for you. If we learn that we have a child's details without a parent's consent, we will delete them.
Cookies and similar storage
We do not use advertising cookies or tracking cookies on this website.
- Visit counts. We use Vercel Web Analytics to see how the site is used. For each visit it records the page, the website or app that sent you here, your approximate location (country, state and city), and your type of device, browser and operating system. It also counts taps on our Call and WhatsApp links, and whether an enquiry went through, never what you wrote. It sets no cookies and stores nothing on your device. To tell visits apart, Vercel uses a code made from your connection details and discards it after 24 hours, so we see totals, not individuals, and you are not followed to other websites.
- Session storage for the form. Your Plan Your Event answers stay in your browser tab until your enquiry is sent or you close the tab, together with a note of the page you came from so the Close button can take you back. Both are needed for the form to work.
- Security check. Cloudflare Turnstile loads on the last steps of the form and reads technical signals from your browser. Cloudflare describes these signals as strictly necessary to detect bots.
- Films. Our films stream from Cloudflare. To deliver the video, Cloudflare receives your IP address and basic device details. The film player sets no cookies.
- Map. The map on our Contact page comes from Google Maps and loads when you scroll to it. Google then receives your IP address and may use its own cookies, under Google's privacy policy.
If we ever add analytics that uses cookies or identifies you, such as Google Analytics, we will update this policy before we do, and ask for your consent where the law requires it.
Changes to this policy
When we change how we handle your details, we will update this page and the date below. If a change is important, we will say so clearly on this page.
